Booking & Cancellation Policy — HIMALAYA TREKKERS (HT)

Effective date: 9th August, 2025

This policy applies to all our trips—fixed-departure Group Treks and Custom/Private tours.

Scope and precedence

This policy forms part of our Terms & Conditions. By booking, you agree to our Terms & Conditions and this Booking & Cancellation Policy. Where we confirm booking-specific terms in writing (email, quotation, or invoice), those written terms override any conflicting clause in this policy for that booking alone.

Definitions

  • Start Date (a.k.a. “Departure Date”) — the date shown on your booking confirmation email.
  • Calendar Days: all days of the week; day counts exclude the Start Date.
  • Written Notice: email sent from the registered email ID on the booking; deemed received when we acknowledge it.
  • Participant: the person named on the booking.

Fixed-Departure Group Treks

A1. Payments

  • Booking Deposit: 25% of the trek fee, due at booking; non-refundable.
  • Balance: due 15 days before the Start Date.
  • Late booking: if you book within 15 days of the Start Date, 100% is payable at booking.
  • Charges: bank/forex/payment-gateway fees and government taxes are non-recoverable and not refundable by us.

A2. Cancellations and reschedule (you cancel)

  • 15 days or more before the Start Date: one complimentary reschedule to (i) another batch of the same trek in the same season, or (ii) any of our treks within 12 months of the original Start Date; or a refund of any amount paid beyond the 25% Booking Deposit.
  • 14–8 days before the Start Date: 50% of the total trek fee refunded.
  • 7 days or fewer / no-show / late reporting / exit mid-way: no refund.

Rescheduled bookings become non-refundable thereafter. Price differences apply if you switch route/season. Services missed for personal reasons aren’t refundable.

A3. Operation commitment and our changes

No minimum group size: once we accept your Booking Deposit, we operate the scheduled departure.

If running the trek becomes impossible or unsafe due to external factors (including but not limited to severe weather, natural events, sudden permit revocations, political unrest, road closures, or administrative orders), we may alter, postpone, or cancel. In such cases we will offer:

(a) a free transfer to a later date or another trek, or

(b) a 100% credit note for the amount you paid (including the Booking Deposit), valid for 12 months from the original Start Date.

Where feasible and no unrecoverable third-party costs exist, we may at our discretion offer a cash refund instead of a credit note. Travel to/from the trek base, tickets, and personal arrangements you book independently are outside our scope and not refundable by us.

A4. Emergency assistance / insurance (third-party)

Included on group departures for eligible Indian citizens: emergency assistance/insurance arranged with a licensed third-party under a separate contract. Policy limits, eligibility, and altitude/activity ceilings are stated in the individual certificate shared before departure. Cashless benefits generally require pre-approval and operational feasibility; helicopter evacuation is never guaranteed.

Custom / Private Tours

B1. Payments

  • Booking Deposit: up to 50% of the trip fee (non-refundable); the exact percentage is specified in our email/quotation.
  • Balance: due as stated in our email/quotation.
  • Late booking: if you book inside the balance-due window specified in the quotation, 100% is payable at booking.
  • Charges: bank/forex/payment-gateway fees and government taxes are non-recoverable and not refundable by us.

B2. Cancellations and reschedule (you cancel)

  • 21 days or more before the Start Date: refund of amounts paid beyond the non-refundable Booking Deposit minus supplier pass-throughs, or one reschedule within 6–12 months (as feasible).
  • 20–8 days before the Start Date: 30% of the total trip fee refunded or one reschedule if all suppliers agree; supplier pass-throughs still apply.
  • 7 days or fewer / no-show / late reporting / exit mid-way: no refund.

B3. Supplier pass-throughs

For Custom/Private trips, non-recoverable third-party charges (hotels, vehicles, local flights, permits, special equipment) will be deducted from any refund or added to your balance if you postpone. Evidence of such charges is available on request.

Fitness, documents, and permits (all trips)

Participation requires meeting our fitness and gear guidance. Required documents/permits must be complete. Delays or denials by authorities are handled under A3 (credit/transfer). If you cannot meet participation requirements, refusal may be treated as cancellation by you under the applicable grid.

Credit notes (all trips)

Credit notes are issued to the same email ID used for the original booking and are redeemable only by the same named participant(s) unless we agree otherwise in writing. Standard validity is 12 months from the original Start Date unless a different period is stated in our email.

Refund routes and timelines (all trips)

    • Domestic refunds (India): NEFT/RTGS/UPI to an Indian bank account in the traveller’s name.
    • International (bank) refunds: SWIFT bank transfer or PayPal, as applicable; intermediary/bank fees and compliance checks may apply and will be confirmed by email.
  • We aim to process eligible refunds within 10 business days after confirming the final amount.

For reschedules, cancellations, or queries, email us from your registered address. For urgent matters near departure, call us.

Updates

We may update this page; the effective date appears at the top. Bookings already made remain governed by the policy version quoted in your confirmation unless you agree otherwise in writing.
