Terms & Conditions
Effective date: 9th August, 2025
1) Agreement
By using this website or booking a trip, you agree to these Terms & Conditions, our Booking & Cancellation Policy and our Privacy Policy. If you do not agree, please do not use the site or our services.
2) Scope & precedence
These terms apply to all tours we operate. If we confirm any booking-specific terms in writing (email/quotation/invoice), those written terms override any conflicting clause here for that booking only.
Start Date (also “Departure Date”): the date shown on your booking confirmation; if any other date differs, the confirmation controls.
3) Using the site
Content on this site is for general information and may change without notice. Use the site lawfully and do not copy content, photos or code without permission.
4) Cookies & privacy
We use cookies and analytics as described in our Privacy Policy. You can contact us to withdraw analytics consent; site experience may be affected.
5) Declaration form
Before the trip starts, each participant (and a guardian for minors) must sign the Declaration / Indemnity shared during booking or at the trek base.
6) Booking, payments & cancellations
Please see our Booking & Cancellation Policy for deposits, balance due dates, reschedules, refunds, credit-notes and timelines. That policy forms part of these terms.
7) Insurance & emergency assistance
On fixed-departure group treks, emergency assistance/insurance is included for eligible Indian citizens and is issued by a licensed third-party under its own policy. For others, we can help you access a suitable third-party plan. We are not an insurer or insurance intermediary.
Cashless benefits normally require pre-approval and access/permissions; helicopter evacuation is never guaranteed.
8) Itinerary changes & safety
Routes, camps, transport or dates may change for safety, weather, health or administrative reasons (permits, road closures, strikes, orders by authorities). Such changes do not automatically entitle a refund beyond what is stated in the Booking & Cancellation Policy or in your booking email.
9) Photos, videos & reviews
Trip media we capture: Photos, video and GPS traces created by our staff/guides may be used for editorial, educational or promotional purposes (site, print, social).
Media you share with us: If you send us photos/videos/reviews, you confirm you own them and allow us to use them with credit to you.
Opt-out: To request removal of an identifiable image, email us; we will act within 30 days where reasonable.
10) Minors
A legal guardian must sign for participants under 18 and is responsible for trek-related decisions and disclosures on the minor’s behalf.
11) Collaborations & links
We do not accept sponsored links. When a genuine collaboration adds value to trekkers, we may include one contextual link with plain disclosure if there is any material connection.
Complaints & grievances
Grievance Officer: Saptarshi Roy (Grievance Officer)
Email: support@himalayatrekker.com
We acknowledge complaints within 48 hours and aim to resolve them within one month.
13) Governing law & disputes
Indian law applies. Courts at Kolkata have exclusive jurisdiction. Before litigation, both sides will try good-faith mediation.
14) Updates
We may update these terms without prior notice. The effective date appears at the top. Continued use of the site or services after updates means you accept the revised terms.
